Items in this window
| Item | Notes |
|---|---|
| Enter New Name and Description | Type the valid entry you want your users to have the option of selecting from the SmartList when they create or edit an asset. The entry mask in the Customize Fields window dictates the maximum number of characters. You can also use this field to provide users with additional details about the SmartList entry. For example, if the name is HW, then a description of computer hardware would greatly aid your users. By using this field in conjunction with the Display Description field under List Attributes (see below), you can specify whether you want to display descriptions in a SmartList. If you do not want to display descriptions, skip this field. |
| SmartList List Box | This list box displays the names and descriptions of all SmartList entries that you have added to the list. |
| List Attributes | Use this field to select the attributes to apply to your SmartList. See List Attributes. |
| Entry Options | Use this field to specify how you want the system to react to users making entries that are not currently in the SmartList. See Entry Options. |
| [Add] | Select this button to add an entry to the SmartList. To add another entry, select the Enter New Name and Description field, enter the new SmartList entry and description (if desired), and then select the Add button. The system adds the entry to the SmartList list box. |
| [Replace] | Select this button to replace the selected SmartList entry with another entry that you have created. To replace a SmartList entry, select the entry, type a new entry in the Enter New Name and Description field, then select this button. If the SmartList entry you are replacing has already been used for an asset, the system displays the Replace Field List Entry window, and informs you of the number of existing assets in the current company that will be affected by the change. Complete the Replace Field List Entry window. |
| [Delete] | Select this button to delete the selected SmartList entry. To delete a SmartList entry, select the entry, then select this button. If the SmartList entry you are deleting has already been used for an asset, the system displays the Delete Field List Entry window, and informs you of the number of existing assets in the current company that will be affected by the change. Complete the Delete All Field List Entries window. |
| [Fill] | Select this button to create a SmartList from all previously existing unique data in this field. Note: A warning appears during the Fill process if over 1,000 unique entries are detected. This warning indicates that system performance may be affected by such a large volume of data in a single field. |
| [Delete All] | Select this button to delete all SmartList entries from the list. If the SmartList entries you are deleting have already been used for an asset, the system displays the Delete All Field List Entries window, and informs you of the number of existing assets in the current company that will be affected by the change. Complete the Delete All Field List Entries window. |
| [Print] | Select this button to send the SmartList report to the default printer. The report shows a field's SmartList entries. |
| [Import] | Select this button to Import SmartList field values from Sage Intacct. The Import button will display if the Sage Intacct Posting and Sage Intacct AP/PO links have been set up for fields mapped to Sage Intacct Dimension, Bill and Vendor Invoice fields, and the three GL Accounts. Note: The Import button will not display for fields mapped to Bill/Vendor Invoice number, Memo, and Reference number. Memo and Reference number are unique fields. |
